Document Translation Guide for Apostille: What You Need to Know

An apostille authenticates a document's origin — it does not translate its content. Many clients assume that once a document is apostilled, it is ready for use abroad. In many cases it is, but some countries and institutions require the document to be in their official language, or require a certified translation to accompany the apostilled original. Understanding when translation is required prevents rejections at the destination.

When Is Translation Required?

Translation requirements vary by country and by the receiving institution. Common scenarios where translation is required:

  • Civil registry submissions: Many countries require vital records (birth certificates, marriage certificates) to be in the national language before they are accepted by the civil registry.
  • Court proceedings: Foreign courts typically require documents to be in the court's language, or accompanied by a certified translation.
  • University admissions: Foreign universities often require academic transcripts and diplomas in their language.
  • Immigration and visa applications: Many immigration authorities require supporting documents in the national language.
  • Real estate transactions: Notaries and land registries in many countries require documents in the national language.

What Is a Certified Translation?

A certified translation is a translation accompanied by a signed statement from the translator certifying that the translation is accurate and complete to the best of their knowledge. In the US, certified translations are typically prepared by professional translators or translation agencies. The translator signs and dates the certification statement.

In the US, there is no government licensing body for translators. "Certified translation" means the translator has certified the accuracy of their work — it does not mean the translator holds a government-issued license. Some countries require translations by a "sworn translator" (traductor jurado) — a different standard. Miami Dade Apostille advises on which standard applies for your destination.

Sworn Translators and Notarized Translations

Some countries — particularly in Latin America and Europe — require translations by a "sworn translator" (traductor jurado or traducteur assermenté), who is officially recognized by a government authority. Does the Translation Need to Be Apostilled?
