Start with the record you need to use overseas

A birth certificate collected in Sarasota, a recorded marriage document from Venice and a North Port school transcript follow different preparation paths. Send copies, the destination, the recipient's instructions and your deadline to Miami Dade Apostille for review. After we confirm the format and delivery arrangements, send the required originals or certified copies to our team. We coordinate the agreed preparation and authority processing.

Understand the stages before setting a deadline

Obtaining a record, preparing it for authentication and arranging its international use are separate stages. An apostille authenticates an official signature or seal; it does not verify every statement in the document or guarantee the recipient will accept it. Some destinations or uses require translation or further legalization. Confirm the receiving institution's requirements, then let Miami Dade Apostille help coordinate the sequence.

Processing time and eligible same-day service

Standard state processing can take months. Miami Dade Apostille offers processing as soon as the same day for eligible documents. Contact us to confirm availability. Record issuance, corrections, preparation, translation and delivery have separate timelines. Federal processing and further legalization are not guaranteed for the same day. Contact our team with the complete deadline before sending documents.

Sarasota vital-record office on Ringling Boulevard

The local vital-record counter is at the William L. Little Health and Human Services Center, 2200 Ringling Boulevard, Sarasota, FL 34237. Call Vital Statistics at 941-861-2810. Its certificate hours are Monday–Friday, 8 a.m.–4:30 p.m., with the certificate instructions listing a noon–12:30 p.m. lunch closure. The building's general 5 p.m. closing time is not the certificate counter's closing time. Confirm availability before visiting.

Certificate counter hours differ from the building's general hours: The certificate counter at 2200 Ringling Boulevard is open Monday–Friday, 8 a.m.–4:30 p.m., with a noon–12:30 p.m. lunch closure. The building's general 5 p.m. closing time does not apply to the certificate counter. Call 941-861-2810 before visiting to confirm availability for your specific record.

Venice vital records have a different weekly schedule

Venice Vital Records is at 4000 S. Tamiami Trail, on the second floor of the Robert L. Anderson Administration Center, Venice, FL 34293. Call 941-861-3528. The dedicated location page lists Tuesday and Thursday, 8 a.m.–4:30 p.m., closed noon–12:30 p.m. Do not assume the Sarasota counter's weekday schedule applies to Venice; call before traveling.

Venice vital records: Tuesday and Thursday only — not every weekday: The Venice location at 4000 S. Tamiami Trail (second floor) is open Tuesday and Thursday, 8 a.m.–4:30 p.m., closed noon–12:30 p.m. This schedule differs from the Sarasota counter. Call 941-861-3528 before traveling. The Clerk's Venice office is at 4004 S. Tamiami Trail — a different address and a different custodian.

Ask about pickup for your specific certificate

Local offices offer in-person certificate requests, but that does not establish that every record will be ready during the visit. Ask the counter about the exact year, requested version, eligibility, identification and availability. Older, sealed or corrected entries may require additional handling. Collecting the underlying certificate does not complete its apostille. Contact Miami Dade Apostille for review and confirmed instructions for sending the required document to us.

Florida birth certificates and special record situations

The county's birth-certificate guidance directs records before 1930 and sealed birth entries to the Bureau of Vital Statistics. Tell the custodian the year and any special circumstances before visiting. Valid photo identification and the identifying information for the record are needed. A birth registered outside Florida follows its own issuing jurisdiction. Our team can review the intended certificate format before you order for use abroad.

Death certificates and access to cause-of-death information

The county's local death-certificate service lists Florida deaths from 2009 onward; earlier records follow the Bureau of Vital Statistics or VitalChek route. Cause-of-death information has restricted access. Confirm which version you are eligible to receive and which version the overseas recipient requests. Send Miami Dade Apostille a copy for review before arranging delivery of the required certified document.

VitalChek for online vital-record orders

VitalChek is a third-party ordering service authorized by Florida's health department for eligible vital records. It can be useful when an in-person visit is impractical. An order for a certificate is separate from apostille processing, and record, delivery and service charges are separate. Contact Miami Dade Apostille to agree on the document format and delivery plan before ordering for international use.

Clerk records in Sarasota and Venice

The Clerk's main records office is at the Historic Courthouse, 2000 Main Street, Sarasota, FL 34237; Public Access Records is on the first floor in Room 103. The Venice branch's Customer Services/Public Access Records counter is at the South County Courthouse, 4004 S. Tamiami Trail, Venice, FL 34293. Published office hours are Monday–Friday, 8:30 a.m.–5 p.m.; call 941-861-7400 to confirm service and collection arrangements. The Venice Clerk counter at 4004 is different from vital records at 4000.

4000 vs. 4004 S. Tamiami Trail — two different offices: Vital records are at 4000 S. Tamiami Trail (second floor, Robert L. Anderson Administration Center). The Clerk's Venice Customer Services/Public Access Records counter is at 4004 S. Tamiami Trail (South County Courthouse). Confirm which custodian holds your document before traveling. Call 941-861-7400 for the Clerk.

Marriage records after the completed license is recorded

For a marriage record held by the Sarasota Clerk, request the certified completed record the recipient needs. The online marriage search covers May 6, 1982 onward; earlier records can be researched through Public Access. An unused license or decorative certificate should not be assumed to satisfy an overseas application. Contact Miami Dade Apostille before selecting a paper or electronic copy, and confirm the recipient's requested form.

Online marriage search starts May 6, 1982 — earlier records through Public Access: If your marriage predates May 6, 1982, contact the Clerk's Public Access Records office at 2000 Main Street, Room 103. An unused or decorative license is not the certified completed record needed for international use.

Divorce judgments and other court records

A final divorce judgment, a general divorce certificate and a case summary are different documents. Tell the Clerk the exact order or judgment you need and provide the case number when available. Some inactive files must be retrieved from storage, and access to restricted records may require authorization. Ask for certification when required and wait for readiness confirmation before making a collection trip. Miami Dade Apostille reviews the copy for the agreed processing route.

Electronic certification requires a format check

Sarasota's Clerk offers electronic certification and exemplification for court records, plus electronic certification for Official Records and marriage certificates. Those options do not make every downloaded or printed file interchangeable for international use. Before selecting electronic delivery, ask Miami Dade Apostille to review the intended format and the recipient's instructions. Keep the original electronic file and any verification information; do not assume a plain printout has completed all preparation.

Sarasota offers electronic certification and exemplification for court records: The Clerk also provides electronic certification for Official Records and marriage certificates. An electronically certified file is not automatically the correct format for every international use. Contact Miami Dade Apostille before choosing delivery or printing; a plain printout is not a substitute for a properly certified copy.

Older Official Records and online search coverage

The Clerk lists Official Records from 1921 onward, while its online land and Official Records search begins in 1990. Earlier material can require a search request or microfilm research through Public Access. These dates concern that collection and should not be applied to marriage or court records. Identify the document, parties and year, and distinguish a plain copy from a certified copy when speaking with the custodian.

Official Records from 1921; online search from 1990 — these dates apply to that collection only: The 1921 and 1990 dates concern Official Records (land records, deeds, etc.) and should not be applied to marriage or court records, which have their own coverage dates. Earlier Official Records material may be available through a search request or microfilm research at Public Access.

School transcripts and local contacts

Start with the school that issued the transcript or diploma. North Port High School, for example, is at 6400 West Price Boulevard, North Port, FL 34291, phone 941-423-8558; its resources page directs alumni to student-record requests. It is a contact for that school, not every county student's custodian. Sarasota County Schools' administration is at 1960 Landings Boulevard, Sarasota, FL 34231, phone 941-927-9000. Call to identify the correct records contact and collection location; do not assume walk-in or same-day pickup. GED records have a separate issuing source.

Confirm the correct records contact before visiting any school or district office: North Port High School (6400 West Price Boulevard) is a contact for that school's alumni records, not a universal custodian for every county student. Sarasota County Schools administration (1960 Landings Boulevard, 941-927-9000) can help identify the correct records office. Do not assume walk-in or same-day pickup at any location.

State College of Florida records in Venice

SCF's Venice Campus lists 8000 S. Tamiami Trail, Building 100, Venice, FL 34293, and 941-408-1300 as its local contact. For official college transcript questions, contact [email protected]. SCF uses Parchment for official electronic and printed transcript orders. Ask the Registrar about the document format and any separate certification needed for international use before choosing delivery. The published campus address is not a promise of immediate transcript pickup. A collegiate high-school record and a college transcript can be different records.

SCF uses Parchment for official transcripts — campus contact is not an immediate pickup counter: SCF's Venice Campus (8000 S. Tamiami Trail, Building 100) is a local service contact. Official transcript orders go through Parchment; contact [email protected] to confirm format, preparation and delivery. A collegiate high-school record and a college transcript are different documents. Transcript delivery does not complete any separate certification, apostille, translation or shipping.

Notarization, affidavits and powers of attorney

Contact Miami Dade Apostille before signing a document that may need notarization or witnesses. We offer Remote Online Notarization for eligible documents, subject to identity checks and the recipient's requirements. A complete notarial certificate and appropriate original documentation matter. Notarizing a photocopy does not automatically replace a vital or court record that must be certified by its proper custodian. Business documents may also require issuer-specific preparation.

Florida records, other states and federal background checks

The issuer determines the authority route, not your Sarasota County address. Our team coordinates Florida processing for eligible Florida documents and the appropriate route for documents issued elsewhere. FBI Identity History Summaries follow federal processing through the U.S. Department of State. Share the destination and receiving institution's instructions so we can discuss any additional authentication, legalization or translation needed. These separate services do not carry a blanket same-day completion promise.
