Plan your Pasco document order with our team

Contact Miami Dade Apostille with a copy of your record, its destination and the recipient's instructions. A marriage document, a court judgment and a college transcript can follow different preparation paths. We review the format and coordinate the agreed authority process. Send required originals or certified copies to our team only after confirmed delivery instructions.

From the underlying record to international use

Obtaining a record, preparing any required certification or notarization, authority processing, translation and delivery are separate stages. An apostille authenticates an official signature or seal; it does not guarantee acceptance for every purpose. Confirm the overseas recipient's requirements while our team coordinates the agreed services.

Processing time and eligible same-day service

Standard state processing can take months. Miami Dade Apostille offers processing as soon as the same day for eligible documents. Contact us to confirm availability. Certificate issuance, corrections, preparation, translation and shipping have separate timelines. Federal processing and additional legalization may take longer. Tell us your complete deadline before sending records; eligible same-day processing does not mean that every stage will finish that day.

Local vital records in Dade City and Hudson

Pasco lists birth and death certificate service at Dade City, 13941 15th Street, Dade City, FL 33525, and Summit Professional, 7509 State Road 52, Hudson, FL 34667. Call 727-619-0300 before visiting. Published certificate hours are Monday–Friday, 8 a.m.–4:30 p.m.; the Dade City certificate counter closes for lunch from 1–2 p.m. General building hours are different. Confirm the current counter schedule and your record's eligibility.

Certificate hours and Dade City lunch closure: Both offices are open for certificates Monday–Friday, 8 a.m.–4:30 p.m. The Dade City counter also closes from 1–2 p.m. for lunch. Call 727-619-0300 to confirm before visiting.

Use the current vital-record location

Summit Professional replaced the former New Port Richey vital-record service locations following the department's 2023 move. Use the current Hudson address above rather than an address on an older application or directory. Confirm the office before traveling; another health-service location may not issue certificates.

Use the current addresses only: The former New Port Richey vital-record service locations were superseded by the 2023 move to Summit Professional, 7509 State Road 52, Hudson. Do not rely on older directories or applications for the office address.

Ask about pickup for your particular certificate

When calling, ask whether the eligible record can be issued during your visit and whether same-day pickup is available. The county guidance does not guarantee this for every request. Older or sealed records, corrections and identification questions can affect timing. Picking up a certificate is separate from apostille processing; our team reviews copies before you send us the required record.

Birth records and the issuing jurisdiction

Bring the custodian's required identification and the details needed to locate the birth entry. Pasco's birth page directs pre-1930 and sealed records to the Bureau of Vital Statistics; confirm the exact year and available format with the office before ordering. A birth outside Florida must come from its own issuing jurisdiction. Share the recipient's requirements with Miami Dade Apostille before ordering for overseas use.

Death certificates and access restrictions

Pasco's guidance lists Florida death records from 2009 onward and directs older entries to the state vital-record office or VitalChek. Cause-of-death information is restricted to eligible family members or legal representatives. Confirm which version the recipient requires and what identification or supporting documents the custodian needs. Our team reviews the resulting copy before the agreed apostille process.

VitalChek for online vital-record ordering

VitalChek is the authorized third-party ordering service identified by Florida's health department. It offers an online alternative for eligible vital records. Certificate and delivery charges are separate from Miami Dade Apostille's services, and ordering a certificate does not automatically include an apostille. Contact our team to coordinate the complete format and delivery plan.

Official Records counters for marriage records and deeds

For recorded marriage documents, deeds and related Official Records, the Clerk lists East Pasco Government Center, 14236 6th Street, Suite 201, Dade City, FL 33523, phone 352-521-4408; and West Pasco Government Center, 8731 Citizens Drive, Suite 220, New Port Richey, FL 34654, phone 727-847-8086. Confirm the record and certification service before visiting. A completed marriage record is different from an application for a new marriage license.

Official Records counters are separate from court operations: Government Centers (14236 6th Street, Dade City; 8731 Citizens Drive, New Port Richey) handle recorded documents. Judicial Centers and records-retention facilities are different locations. Call the relevant division before visiting.

Court judgments and the correct Clerk division

For a divorce judgment, probate order or other case record, contact Court Records at 352-521-4489 in Dade City or 727-847-8962 in New Port Richey. The Clerk distinguishes court operations at Robert D. Sumner Judicial Center, 38053 Live Oak Avenue, Dade City, FL 33523, and West Pasco Judicial Center, 7530 Little Road, New Port Richey, FL 34654, from its Official Records counters. Call to confirm where your specific certified-copy request should be handled.

An archived-file request may require additional preparation; do not assume immediate pickup.

Recorded-document searches and older entries

Pasco's Official Records index begins in 1975, while public online images generally begin in 1990 and have exceptions for restricted record categories. Its historical collection covers deeds and Official Records from 1876–1974. Supply names, dates and any book/page or instrument reference when requesting a record. An index result or ordinary download is not automatically the certified copy required for international use.

An index result is not a certified copy: Pasco's Official Records index begins in 1975; public online images generally begin in 1990. A downloaded or printed image is not automatically the certified copy required for international use. Ask our team to review the format before ordering.

Electronic certification needs a format review

The Clerk offers E-Certify for eligible documents from 1990 onward, subject to exemptions, and provides other certified-copy request options. Electronic certification does not establish that a printout or file will satisfy every authority or foreign recipient. Ask Miami Dade Apostille to review the format before ordering, printing or altering the file; our team coordinates the appropriate next stage.

Pasco-Hernando State College records assistance

PHSC's West Campus is at 10230 Ridge Road, New Port Richey, FL 34654. Its campus directory lists Admissions in Building A. Contact Admissions and Student Records at 727-816-3371 or [email protected] to confirm assistance and current arrangements. This is a place to ask about your college record; it is not a promise of immediate official-transcript pickup.

Confirm transcript arrangements with PHSC: The West Campus directory lists Admissions in Building A at 10230 Ridge Road. Contact Admissions and Student Records to confirm assistance and delivery arrangements. Official transcript orders use Parchment, including requests for a hard copy; do not assume immediate campus pickup.

PHSC official transcripts and school documents

PHSC uses Parchment for official transcript orders and allows a hard-copy request. Its guidance separates official transcripts from unofficial Banner records and allows additional time for mailed delivery. Contact our team before ordering a document for international use so the required certification or notarization can be reviewed. For a different school, contact that school's records custodian; PHSC cannot issue another institution's diploma or transcript.

Allow additional time for mailed delivery: PHSC's guidance separates official transcripts from unofficial Banner records and notes that mailed delivery requires extra time. Contact our team before ordering for international use so any required certification or notarization can be reviewed in advance.

Notarized documents and Remote Online Notarization

Contact Miami Dade Apostille before signing affidavits or powers of attorney that may need notarization or witnesses. Remote Online Notarization is available for eligible documents, subject to identity checks and recipient requirements. Florida notarized documents need a complete English notarial certificate. A notarized photocopy does not replace a public record certified by its proper custodian.

Business, other-state and federal documents

Business records issued by a state and privately signed documents can require different preparation. A record from another state follows its issuing state's authority route even when the client lives in Pasco County. FBI Identity History Summaries follow federal processing through the U.S. Department of State. Our team coordinates the appropriate authority submission and any further legalization needed for the destination.
