A local record and its apostille are separate steps

Contact Miami Dade Apostille before ordering a replacement or sending originals. We review your document, its issuing authority and the instructions from the overseas recipient. An apostille authenticates an official signature or seal; it does not confirm the contents or guarantee acceptance for every purpose. Depending on the destination and document, authentication and additional legalization may be required instead. Our team coordinates the appropriate submission after you send us the required documents using confirmed delivery instructions.

Processing time and eligible same-day service

Standard state processing can take months. Miami Dade Apostille offers processing as soon as the same day for eligible documents. Contact us to confirm availability. Record issuance, notarization, translation, authority processing and shipping are separate parts of the schedule. Federal documents and additional legalization have their own timelines. Contact us with the document type and deadline so we can confirm what is available before you send it.

Where to obtain birth and death records in Vero Beach

Indian River Vital Statistics is at 1900 27th Street, Vero Beach, FL 32960. Call 772-794-7460. The certificate counter operates Monday–Friday, 8 a.m.–4:30 p.m.; those hours differ from the building's general hours. Bring a valid photo ID and the appropriate application, and confirm eligibility and record availability before visiting. Ask about same-day pickup for your specific record; do not assume every certificate can be issued that day. Local record pickup is separate from apostille processing. Send the correct certificate to Miami Dade Apostille after our review and confirmed delivery instructions.

Birth records: check the year and required format

The Indian River birth-certificate page lists Florida births from 1930 onward and directs earlier or sealed records to the state Bureau of Vital Statistics. Other statewide information describes wider historical availability, so confirm your particular year with Vital Statistics before traveling. Tell our team if the recipient requires parents' details, a particular certificate format or a recently issued copy. An ordinary photocopy of a birth certificate is not an issuing-office certified record.

Death certificates and cause-of-death access

Indian River lists local Florida death records from 2009 onward; older records use the Bureau or an eligible online order. Ask the custodian which version you may obtain and whether supporting authorization is needed for cause-of-death information. Confirm the foreign recipient's requested version before ordering. The Vero Beach Vital Statistics counter is the local pickup location, and availability still depends on the record and requester.

Online vital-record ordering through VitalChek

VitalChek is the Florida Department of Health's authorized online ordering vendor. It is a third-party ordering service; online fees and delivery are separate from local office pickup. Contact Miami Dade Apostille first to review the needed copy. If you choose online ordering, allow for issuance and delivery before the apostille stage. Once you have the required record, send it to our team using confirmed instructions.

Indian River Clerk: physical location and mailing address

The courthouse is at 2000 16th Avenue, Vero Beach, FL 32960; the Clerk's general phone is 772-226-3100. Its general mailing address is P.O. Box 1028, Vero Beach, FL 32961-1028. The current contact directory lists most Clerk counters from 8 a.m.–5 p.m., but individual services can stop earlier. Confirm the department and copy request before visiting or mailing. These are government record-custodian locations, not Miami Dade Apostille delivery addresses.

Marriage records: use the recorded certificate

The Marriage Licenses Department is in Room 119 at 2000 16th Avenue. Call 772-226-3173 or 772-226-3175. Its page lists courthouse marriage service Monday–Friday, 8 a.m.–4:30 p.m. After the ceremony, the completed license must be returned for recording before the resulting certified record is available. A new-license application is different from ordering a copy of an existing marriage record. Contact us with the record and destination so we can review the format required.

Sebastian office: confirm your record service before traveling

The North County Annex is at 1921 U.S. Highway 1, Sebastian, FL 32958; phone 772-226-1147. The Clerk lists opening on Monday, Wednesday and Friday, 8:30 a.m.–5 p.m. Its marriage-service notice also lists a noon–1 p.m. closure. Ask whether your particular copy can be handled there or whether the Vero Beach Records Service Center is needed. Do not assume every courthouse record is available at the annex.

Full divorce decrees and other court orders

For an Indian River court order, contact the Clerk's Records Service Center at the Vero Beach courthouse with the case number and the exact order requested. A full certified divorce judgment differs from a state dissolution summary. Ask the recipient which it requires, then share that instruction with our team. Access restrictions may apply to adoption, juvenile and other confidential cases. An online docket entry by itself is not a certified copy of the court order.

Electronic certification is a format choice

The Clerk offers electronic certification for many Official Records, including recorded marriage licenses, deeds, mortgages and final judgments. Its guidance says documents with restricted online viewing cannot be electronically certified through that service; eligible certified copies may instead be requested in person. Contact Miami Dade Apostille before choosing a digital copy for overseas use. We review the required submission format and recipient instructions; a printed digital file is not automatically equivalent to an original paper certification.

How to identify the correct recorded document

For deeds, mortgages, liens and other recorded instruments, the Records Service Center uses a Clerk File Number or book and page reference. Court-copy requests use the full case number and specific docket entry. The Clerk permits free viewing or printing of many ordinary online records, but those printouts are uncertified. Ask for the required certification when you order the underlying record, and contact our team before paying for an unnecessary version.

Notarized documents need a different preparation route

Affidavits, powers of attorney and sworn statements are prepared with an eligible notary rather than collected from the vital-record counter. Florida requires a complete English notarial certificate. A notary cannot replace the issuing custodian's certification of a government-held public record. Contact our team before signing so we can review document, signer, witness and recipient requirements.

School records come from the issuing institution

For a transcript or diploma, contact the registrar of the actual school or institution about certified preparation and physical pickup. There is no single Indian River county counter for every school. Florida public-school transcripts require the issuing official's signature and appropriate notarization; private-school preparation differs. Send us a copy and the recipient's checklist before you arrange notarization or order another document.

Corporate records and privately signed business documents

A Florida registry-certified copy or certificate of status is different from a printout of a public search result. Privately signed business documents may require notarization instead. Contact Miami Dade Apostille with the filing jurisdiction and requested document so we can coordinate the proper route. The local vital-record counter does not issue state corporate certifications.

Out-of-state records and federal FBI reports

Living in Vero Beach or Sebastian does not move an out-of-state birth record into Florida's apostille jurisdiction. Documents use the appropriate issuing-state authority. An FBI Identity History Summary is federal and follows the U.S. Department of State route. Our team can coordinate the separate submissions a mixed-document order needs. Start with copies for review, then send the required records TO Miami Dade Apostille using confirmed instructions.

Remote Online Notarization for eligible documents

Miami Dade Apostille offers Remote Online Notarization for suitable documents, including eligible affidavits and powers of attorney. Identity checks, witnesses, the document itself and the receiving authority's rules affect availability. It does not turn an ordinary copy of a public record into an official certified record. Contact our team to discuss preparation before you sign.

Translation and return delivery

Tell us the language, format and scope of translation required by your recipient. Translation and apostille are separate services; our team can coordinate the applicable order and return arrangements. We assist Fellsmere, Indian River Shores, Sebastian, Vero Beach and clients throughout Indian River County remotely. An office visit is not required for every order. Requests can be submitted 24/7, 365 days a year; replies take approximately two hours during regular business hours.
