  • Confirm the required certificate version and eligibility before ordering.

Court and Official Records: use the right search details

  • Charlotte's E-Certify guidance separates court records from Official Records.
  • Court searches use a case number without spaces and with leading zeroes retained.
  • Official Records searches can use an instrument number or grantor/grantee name.
  • Certain confidential or legally protected documents may require in-person certification with a hand stamp or raised seal.
  • If the needed document is unavailable, ask the Clerk about access and certification rather than ordering a different record merely because it appears online.

Electronic certification is separate from an apostille

  • An e-certified record can be checked using its unique reference number or original PDF through the Clerk's verification service.
  • Preserve the original file.
  • That verification confirms the Clerk's certification; it is not a Florida apostille.
  • Before purchasing an electronic copy for international submission, confirm the acceptable document format with the authentication office and receiving authority.

  • These local offices provide records and Clerk services; Florida apostilles are a separate state process.

Private documents, school transcripts and business records

  • Florida public-school or university transcripts need a registrar or issuing official's signature and notarization with a full notarial statement under state guidance.
  • For affidavits, powers of attorney and other private documents, confirm the required signing and notarial certificate before execution.
  • Florida business filings need an original state-issued certified copy or certificate of status rather than a simple online printout.
  • Each item should be reviewed individually so that the certification fits the document being submitted.

Notarization and apostille are different steps

  • Notarization prepares an eligible private document; it does not produce an apostille.

FBI reports follow the federal route

  • An FBI background check is a federal record and goes through the U.S. Department of State authentication process, not a Florida state apostille submission.
