Start with the issuing authority and destination

Why Baker recommends paper certified marriage copies

  • The Official Records portal distinguishes free online copies, purchased electronic certified copies and paper certified copies available through Clerk locations or a mailed request.
  • It specifically recommends paper certified marriage-license copies because some federal and out-of-state offices do not accept electronic certification.
  • This is not a statement that all electronic records are invalid.
  • For an apostille, confirm the certification format with the Clerk and Florida Department of State before ordering; do not assume printing an electronic copy supplies every required certification.

Ordering a certified recorded document by mail

  • Baker's Official Records order form asks for identifiers such as the file number, book and page, party names and document type.
  • Specify that you need certification, not just an ordinary copy.
  • The form directs requests to the Recording Department at 339 E. Macclenny Avenue, Macclenny, FL 32063, with a cashier's check or money order payable to Baker County Clerk and a self-addressed stamped envelope.
  • Check current copy and certification charges before mailing.
  • This request obtains the underlying record; the state apostille submission is a separate step.

Private documents, school transcripts and business records

  • Florida public-school or university transcripts need a registrar or issuing official's signature and notarization with a full notarial statement under state guidance.

FBI reports follow the federal route

  • An FBI background check is a federal record and goes through the U.S. Department of State authentication process, not a Florida state apostille submission.
