1. Who We Are
Miami Dade Apostille is a private document preparation and expediting service based in Miami, Florida. We are not a government agency, a court, or a law firm. We prepare and submit documents to the appropriate state or federal authority on behalf of clients. We do not provide legal advice.
This policy describes how we handle information submitted through www.miamidadeapostille.com (the "Site").
2. Information We Collect
We collect information in the following ways:
Information you provide through our forms and communications:
- Full name, email address, and phone number
- Preferred contact method
- Service type requested, document type, issuing state or agency, and destination country
- Deadline or turnaround preference and any notes you include
- Uploaded document files submitted for review
Technical data processed by our hosting platform:
Our website is hosted on GoDaddy's Airo platform. As part of normal website operation and security, the hosting infrastructure may process technical data such as IP addresses, browser type, and request logs. This processing is governed by GoDaddy's own privacy practices and is separate from the information you submit through our forms.
Analytics data (only with your consent):
If you accept analytics cookies through the cookie consent banner, Google Analytics 4 (GA4) is loaded and collects data about how you use the Site. See Section 6 for details. If you decline, GA4 is not loaded.
We do not collect payment card numbers through our website forms. Payments are handled separately and directly. If you contact us by phone, WhatsApp, or email outside of the website forms, any information you share in that communication is handled the same way as form submissions.
3. How We Use Your Information
We use the information you submit to:
- Review your document and quote request
- Contact you to discuss scope, timing, and charges
- Perform the apostille, translation, notarization, or other service you request
- Respond to follow-up questions about an order in progress or already completed
- Prevent abuse of our submission forms
4. Uploaded Files and Document Retention
Files you upload through our forms are used to perform the service you requested. They may be stored on our servers and transmitted to our staff by email attachment for review and processing.
Working copies of documents are retained until the job is complete. Our staff handles removal of stored files and email attachment copies after completion. Deletion is not automatic. If you would like your files removed before that point, contact us using the details in Section 8 and we will handle removal of both stored copies and email attachment copies.
5. Who We Share Information With
We share your information only as necessary to perform the service you requested:
- Hosting and email infrastructure: Our website is hosted on GoDaddy's Airo platform. Submission notifications are delivered through GoDaddy's platform email gateway. These providers process data as part of operating the infrastructure.
- Government and consular authorities: We submit your documents to the relevant Secretary of State office, the U.S. Department of State, or other issuing authority as required for the service you requested.
- Translation and courier services: Where your order includes certified translation or physical shipping, we may share relevant document details with the translation provider or courier handling that portion of the work.
External sites: Our website contains links to WhatsApp, booking platforms, and other external services. Those sites operate under their own privacy policies, which we do not control.
6. Analytics and Cookies
We use Google Analytics 4 (GA4) to understand how visitors use the Site. GA4 loads only after you accept analytics cookies through the cookie consent banner. If you decline, the GA4 script is not loaded and no GA4 cookies are set. You can change your preference at any time using the "Cookie settings" link in the footer of every page.
When analytics are active, GA4 sets cookies to distinguish visitors and sessions. Advertising features (ad storage, ad user data, ad personalization) are disabled in our GA4 configuration.
Our hosting platform may set or read technical cookies or similar storage as part of normal website operation and security, independent of your analytics consent choice.
7. Security
The Site is served over HTTPS. We take reasonable precautions to protect information submitted through the Site, but no internet transmission or storage system is completely secure.
