Challenge 1: Wrong Document Type

The most common reason for apostille rejection is submitting the wrong type of document. The Florida Secretary of State can only apostille certified copies — not photocopies, not hospital-issued birth certificates, not unofficial transcripts. Always obtain a certified copy from the issuing authority before submitting for apostille.

Challenge 2: Wrong Issuing Authority

Florida documents are apostilled by the Florida Secretary of State. Federal documents are apostilled by the US Department of State. Documents issued in other states must be apostilled by that state's Secretary of State. Submitting a document to the wrong authority results in rejection and lost time.

Challenge 3: Expired Apostille

Technically, apostilles do not expire — the Hague Convention does not set an expiration date. However, many receiving institutions impose their own validity requirements, typically requiring the apostille to be less than 3–6 months old. Always confirm the receiving institution's requirements before beginning the process.

An apostille certifies the document's authenticity — it does not translate it. If the destination country requires a translation, the translation must be obtained separately. Some countries require the translation to be certified and apostilled as well. Confirm translation requirements for your specific destination before submitting.

Challenge 5: Non-Hague Country

If your destination country is not a member of the Hague Apostille Convention — such as the UAE, Qatar, Kuwait, or Cuba — an apostille is not accepted.
